Front Desk/Office Assistant – Recruitment Consultancy - Limassol – Cyprus

GRS is a leading Cyprus and Malta based Recruitment Consultancy with offices in Limassol, Nicosia and Malta. We are currently looking to hire an Office Assistant to join our team in Limassol. The successful applicant will be working within a fast-paced environment, concentrating on the smooth operation of the office and providing exceptional customer service to our customers both on the phone and those visiting our office. The successful candidate will be joining a dynamic team and be responsible for maintaining the facilities, events and high level of customer experience. This is a fantastic opportunity for a personable and presentable individual who enjoys interaction with people both internally and externally while being organised and meticulous.

MAIN DUTIES AND RESPONSIBILITIES

  • Answering incoming phone calls to the business for both GRS/Fairfax and directing calls or taking messages where appropriate.  Ensure accurate and thorough message taking on all calls and relaying messages electronically internally to the relevant Consultant/Manager/Director.
  • Managing all deliveries to the business
  • Coordinating collecting/sending of post and using courier services where needed.
  • Calendar management for Consultants/Fairfax/Directors
  • Board Room Management, ensuring there is no overbooking, keeping rooms clean, at correct temperature and that they are fully equipped for the purpose of the meeting being held.
  • Facilities and Supplies: Ordering and receiving of office supplies, unpacking and storing as appropriate and in an organized manner.  Weekly shop on a Monday morning for supplies that are not delivered inc. Milk and fruit.
  • Preparing for and coordinating all internal and external events.
  • Keep an up to date contact supplier/facilities list
  • Document Amendments, scanning documents, General Support and cover to the Business Support team if and when required.
  • Website Content Management – Update any information on both the GRS and Fairfax Yeaman websites such as employee profiles, news articles and blogs and pictures from events. 
  • PA duties to the Directors of GRS and Fairfax Yeaman such as travel arrangements, diary management and anything else requested.
  • Any other duties required or requested by Directors/Management to ensure the smooth running of the office and the business.

  • Previous experience in a similar role.
  • Service orientated and customer focused

  • Adaptable and a great willingness to help
  • Fluency in Greek and English to native level
  • Ability to work independently and to own initiative
  • Great team player
